Exchange Online: Workspace Mailbox

Microsoft Released Work Space Mailbox on July 20th 2020, here is the blog.

So, what is workspace mailbox or Microsoft WORKSPACE

Workspace is a physical location to work or do any activity. You may use a conference room as well. And it can be similar to Outlook Conference Room. There are couple differences in conference room mailbox and workspace mailbox, workspace mailbox has capacity limitation and minimum booking duration. It is much more useful for multiple purpose spaces which can be used for multiple tasks at one point of time. Also, until we hit the capacity, multiple users can book the same workspace.

Steps to create a Workspace Mailbox.

  • Connect to Microsoft Exchange Online by running following PowerShell

    Connect-ExchangeOnline


  • Authenticate and Run the following command to create Workspace mailbox

    New-Mailbox
    -room
    G5Workspace01
    |
    Set-mailbox
    -Type
    Workspace


  • Set the capacity to True and minimum duration

    Set-CalendarProcessing
    G5Workspace01
    -EnforceCapacity
    $True
    -MinimumDurationInMinutes
    60


  • Set the Capacity limit as per the workspace limit. Go to https://outlook.office.com/ecp/ then select recipients à resources then double click on the G5Workspace01, add Capacity then save.


  • Now time to use it. Here are the steps
    • Open the Outlook calendar and create a “new meeting”. Select minimum duration of 1 hour which is what we had configured for workspace booking.
    • Set the “Show as” status to “Free” so the invite doesn’t block your calendar.
    • Open the “Room finder” by selecting the location input and then “Browse with Room Finder”.
    • Select your building from the drop-down and “G5Workspace01” option from the “Type” drop-down.

    • Select G5workspace01 workspace. Availability will be shown based on at least one available space for the duration of this booking.



    • Send or Save the event and then the user will get the auto-generated email confirming for the booking as shown below:
